Data for a nonprofit organization is a huge asset and can illustrate an organization’s impact on a community.
Assess nonprofits current software, data collection and team needs (historical and present).
Build a database based on software that is available to nonprofit. I have built data storage systems in Salesforce, Monday.com and Access. I am familiar with Network for Good, DonorPerfect and Hubspot.
Collect the data and build a plan to migrate into the new system. This process will involve training the team to enter data into the system.
Visualize the impact and asses the needs. Through the use of reports and system dashboards deliverables are seen.
What does the assess process look like?
We look at the current software, data collection methods and team capacity (historical and present). We also look at the cost of software and assess if the current set up works or if it does not. If it does not, we will research potential software and when a software is selected the organization will complete the licensing process for the software.
What does the build process look like?
I look at building process in phases:
Discovery involves having conversations with the team about logic models, funding deliverables, data collection and data entry tasks. We also have conversations around strengths & weaknesses. We will look at historical and current data.
Build involves building the database and customizing it to meet the needs of the organization structure. This is the time when the organization will clean up their data to get it ready for migration.
Test involves the team testing the process to determine if changes need to be made. The team will use the latest data collection to enter into the system.
Implement involves launching data management for all team members.
Sustain involves training and the development of data operation procedures.
What does the collect process look like?
The organization will compile their data and provide clean data for migration. If data is not cleaned up prior to migration this will create difficulties and will require additional time.
The organization will share their program logic models and their funding deliverables to guide the generate of reports.
What does the visualize process look like?
Once reports are generated, depending on the software service will determine how dashboards will be created. Training will need to be conducted to ensure future cultivation of impact visuals.
